32 hrs/week, Flexible Schedule, 75 days, plus additional days may be added
Position will be hybrid, remote and at the High Desert Regional Education Center, Redmond, Oregon
Rate as established by bargaining agreement, Classified Wage Schedule, starting range $23.16 - $29.91/hr

ADMINISTRATIVE ASSISTANT II for STUDENT SUCCESS
Definition We are pleased to share pertinent information regarding an open Administrative Assistant II position for the Student Success team at the High Desert ESD. With minimal supervision, the Assistant performs complex, detailed, varied, or specialized financial, clerical, and office support work for an administrator, supervisor, or manager, and those she/he supervises. Assignments vary widely including involvement in subject matter and specific activities, application of technical expertise, the exercise of independent discretion and judgment, and generally applying wide guidelines to multiple work situations. The Assistant often oversees office support activities and provides technical assistance in computer applications.

Qualifications This position requires an Associate degree and/or 3 years of specialized and/or general office experience, or any combination of any education and experience which would provide the desired skills, knowledge, and ability required to perform this job. An AA or BA is preferred. The person in this position must have a thorough knowledge of business English, composition, spelling, and punctuation. The Assistant must be highly competent in the use of computers and appropriate software (Adobe Acrobat, PDNetworks, etc.) specific to the needs of the position and/or have the ability and desire to learn. Considerable knowledge of general office practice (creating documents, spreadsheets, etc.), procedure, record keeping, and reporting is required. The Assistant has the ability to plan and direct the work of others. The person in this position must possess strong relational skills, be courteous and helpful in interactions, and be a problem-solver. Must have access to reliable transportation and consistent attendance is required. This position is a hybrid work setting and therefore requires flexibility, strong organizational skills, independently meeting deadlines, excellent communication skills, and a self-driven work ethic. Must be able to bend, stoop, and lift up to 35 pounds.

Performance Responsibilities
- Perform duties of Secretary I/II/III
- Act as Administrative Assistant II to the Student Success Regional Directors and program
- Prepare periodic reports of departmental or program activities from files and records
- Work independently and make appropriate decisions regarding work methods and priorities
- Utilize computer to perform appropriate and sophisticated tasks with installed systems
- Maintain Student Success website and other marketing tools with direction and assistance
- Create and maintain spreadsheets
- Assist with grant work
- Assist in budget management of grants, department budgets, or other revenue sources
- Allow for flexibility of work days and tasks needing to be performed
- Provide business-related support to the Student Success program in areas such as purchase requisition and orders, track receiving and invoices, gift card processing, timesheets, and mileage reimbursements
- Accurately use current technology to facilitate communications and compose correspondence, maintain calendars, produce reports, and create graphics, charts, and spreadsheets as required in the course of work
- Financial System Management for the Student Success Program
- Coordinate multiple work projects (often under stressful situations)
- Support for organizing professional developments facilitated by the Student Success team
- Schedule meeting rooms, take meeting minutes and support, webinar sessions or new technology tools
- Communicate clearly and appropriately verbally and in writing with employees, community partners, and the general public using tact, courtesy, and good judgment
- Making and tracking purchases
- Coordinating all project pay paperwork with HDESD and partners
- Creating presentations, handouts, email communications, and additional materials as needed
- Coordinating and scheduling meetings between multiple partners
- Respect and maintain confidential information in all situations
- Fulfill other related duties as assigned
