Secretary III - Temporary
40 hrs/week, Mon-Fri, 250 days per year (pro-rated for remainder of 2024-25)
Location: Bend
Rate as established by bargaining agreement, Classified Wage Schedule, starting rate $21.00- $25.57/hr DOE

Definition
With a minimum of supervision, Secretary provides support to a department or program in a professional manner. The secretary performs duties within broad parameters while exercising considerable independent judgment.
The Secretary is responsible for a variety of office duties including inputting data into current Healthy Families Oregon data system and the MIECHV data system. Establish entry priorities by following organizational processes or conferring with team leadership.
Qualifications
This position requires a High School diploma or equivalent. Successful experience in a similar position is required. A thorough knowledge of business English, composition, spelling and punctuation is expected.
Considerable knowledge of modern general office practices and procedures, record keeping and reporting is expected. The secretary must be highly organized, ensuring the program office operates smoothly, efficiently, and with appropriate professionalism.
Competency in use of computer and appropriate software specific to the needs of the position is required. Must have access to reliable transportation, and consistent attendance is required. Must be able to bend, stoop and lift up to 50 pounds. Applicants must have successful experience in working with culturally diverse families and communities, and/or have otherwise demonstrated a commitment to equity and strengthening engagement of a diverse community and skill in communicating with a diverse population.

Performance Responsibilities
- Work independently making appropriate decisions regarding work methods and priorities.
- Communicate via phone, writing, and in person with families, employees, and the general public using professional tact, courtesy, and good judgement while applying knowledge of departmental regulations and procedures.
- Establish and maintain effective and harmonious relationships with others.
- Represent Healthy Families of the High Desert and the HDESD agency as a whole with a courteous and helpful attitude toward all agencies and departments served.
- Independently coordinate multiple work projects and execute with accuracy and attention to detail.
- Sucessfully operate standard office equipment and associated software programs on computers, copiers, printers, calculators, etc.
- Set up, enter and accurately maintain required information on spreadsheets, word documents, google drive, and various databases.
- Attend meetings to record official action, prepare minutes for official record, and distribute.
- Receive and distribute mail, supplies and other materials for a department or area.
- Accurately maintain files, records, correspondence, reports, etc.
- Set up reports and documents from files and records in appropriate format.
- Compose correspondence and prepare forms for signature of supervisor, applying knowledge of established departmental or program procedures and functions.
- Make mathematical computations and tabulations accurately with reasonable speed.
- Use technology and related software programs accordingly to produce, format, and maintain documents, spreadsheets, brochures, flyers, reports, calendars and other program related documents.
- Maintain simple bookkeeping according to established account classification.
- Respect and maintain confidential information in all situations.
- Represent the program/ department as the Staff/ESD Liaison including assisting with time sheets, mileage forms, attendance/leave record keeping, sub approval process, ESD forms, and other related assistance.
- Represent the program/department as the Building Safety Rep, facilitating and/or participating in monthly safety meetings and coordinating/initiating fire drills per the HDESD Safety Committee and OSHA requirements.
- Represent the program/department as the Building Maintenance Liaison, reporting building issues and needed repairs to the Facilities Manager and scheduling the building for use by other departments.
- Fulfill other related duties as assigned
